Privacy Policy
SnapPOS is a point-of-sale product operated by SnapPOS, LLC, a Texas limited liability company ("we", "us"). This policy explains what we collect through snappos.net, why, and what you can ask us to do about it.
It covers this website. It does not cover the SnapPOS till software running in a shop — see Section 8 for how that differs.
1. What we collect
Information you give us
Our quote, hardware kit check, menu setup and support plan forms ask for:
- Your name
- An email address or phone number, whichever you choose to give
- Number of registers or tills
- Shop type (for example retail, salon, restaurant, corner store)
- What point-of-sale system you use now, if any
- Whether you are already a customer
- Free-text notes you write yourself
Files you upload
Some forms let you attach files:
- Card processing statements, so we can quote against your current rates
- Photos of hardware, so we can tell you what will and will not work
- Menu or product files, so we can estimate setup
About processing statements. These often contain your merchant account number, monthly volume and fee detail. We ask for them only to prepare a rate comparison and, if you ask for our free processor matching service, to request proposals from the payment processors we work with (see Section 4). Please redact your full bank account number before uploading — we do not need it and would rather not hold it.
Information collected automatically
When you submit a form we record, alongside your submission:
- Your IP address
- Your browser user agent
- Your language preference
- The date and time of submission
We keep these to identify duplicate or abusive submissions and to know which language to reply in. For quote, hardware and menu forms, the IP address and user agent are also included in the lead notice we send to Meta (see Section 4).
Booking and correspondence
Demo bookings are handled by Calendly, which collects your name, email and chosen time under its own privacy policy. If you email or call us, we keep that correspondence.
If you message our Facebook page, Meta delivers the message to us. We send one automatic acknowledgement and keep the message so we can reply.

3. We do not sell your data
We do not sell personal data. We do not use your uploaded statements, photos or menus for anything other than answering the enquiry you sent them with.
We do share a limited lead notice with Meta when you send a quote, hardware or menu form, so we can see which of our Facebook and Instagram ads bring in real enquiries (see Section 4). Some privacy laws treat this as targeted advertising. You can opt out at any time (see Section 7), and if your browser sends a Global Privacy Control signal we treat that as an opt-out automatically.
4. Who we share it with
Only where it is needed to do the thing you asked for:
- Email and hosting providers that carry and store our mail and website
- Calendly, if you book a demo
- Meta Platforms (Facebook and Instagram). When you send a quote, hardware or menu form, we send Meta a lead notice containing your email address or phone number — converted to a one-way hash (scrambled code) before it leaves our systems — along with your IP address, browser details, which form you used, your register count, shop type and language. Meta uses it to measure and improve how our ads perform, and may match it to a Facebook or Instagram account under its own privacy policy. We do not send your name, your notes or any files you upload, and we send nothing for support-plan enquiries. We do not place the Meta Pixel or other advertising tags on this website.
- Payment processors and gateways, if you ask us to quote, compare rates or board a merchant account, and only with your knowledge. When you ask for processor matching, we send your processing statements and business details to the processors we request proposals from, for the sole purpose of preparing those proposals. A processor that receives them handles them under its own privacy policy. Some processors pay us when a merchant we refer signs with them; that does not change what we share or why.
- Professional advisors where we are obliged to disclose, or where the law requires it
We do not pass your details to unrelated third parties.
5. How long we keep it
- Your sensitive files are deleted. Processing statements, hardware photos and menu files you upload are stored only on our own server, are never emailed, and are automatically and permanently deleted no later than 120 days after upload. Copies you asked us to send to a processor for a proposal are kept by that processor under its own policy.
- Contact details and enquiry notes are kept so we can follow up and keep a record of who we have spoken to. They stay on our own systems and are not passed to anyone else, apart from the email and hosting providers that carry them and the hashed lead notice to Meta described in Section 4, which you can opt out of. You can ask us to delete them at any time (see Section 7).
- Customer records: for the life of the relationship and as long afterwards as tax and accounting rules require
6. Security
We use encrypted connections for the website and for the delivery of form submissions, restrict access to submitted files, and automatically delete uploaded files no later than 120 days after upload. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
7. Your choices
You can ask us to:
- Tell you what personal data we hold about you
- Correct anything inaccurate
- Delete it
- Provide a copy in a portable format
- Stop including your details in the lead notices we send to Meta (opt out of targeted advertising)
Browsers and extensions that send a Global Privacy Control signal are opted out automatically: if your browser sends it when you submit a form, nothing about that submission is sent to Meta.
Texas residents have these rights under the Texas Data Privacy and Security Act. We honour the same requests regardless of where you live. Email support@snappos.net and we will respond within 45 days. There is no charge. If we refuse a request we will tell you why, and you may appeal by replying to that decision.
8. The SnapPOS till software
This policy covers the website. The SnapPOS software that runs in a shop works differently:
- It runs on the merchant's own hardware, on their own premises.
- We do not receive or store the merchant's sales data or their customers' personal data.
- Card payments are handled by the payment terminal and the payment processor. Card numbers are not stored by the SnapPOS software, and are not transmitted to us.
- Where a merchant uses SnapPOS to serve their own customers, the merchant is responsible for their own privacy obligations to those customers.
9. Cookies
This site uses what is needed to make pages work, such as remembering your language choice, and Google Analytics, which sets cookies to count visits and see which pages are used. Analytics data is aggregated; we do not use it to identify you, and we do not use advertising cookies or the Meta Pixel on this site. The Meta lead notices described in Section 4 are sent from our server, only when you submit a form, not by cookies in your browser. You can block these cookies in your browser without losing any part of the site. Third-party pages we link to, such as the Calendly booking page, set their own cookies under their own policies.
10. Children
This is a business product. The site is not directed at children and we do not knowingly collect personal data from anyone under 18.
11. Changes
If we change this policy we will update the date at the top. Material changes will be noted on this page.
